In this role you will be responsible for supervising the administrative team, ensuring accurate contract registration, managing payments and reporting, and safeguarding compliance with internal procedures and Ukrainian land legislation.

Key Responsibilities

  • Leadership & Organization
  • Lead, coach and support Land Lease Administrators in their daily work
  • Ensure accuracy, completeness and timeliness of all administrative processes
  • Identify risks and issues early and report them to department management
  • Actively participate in operational administrative tasks when needed

Process & Compliance

  • Ensure all land lease procedures are documented, implemented and approved by Head Office
  • Monitor strict compliance with approved procedures and internal controls
  • Promote non-cash, fully traceable payment methods in line with compliance requirements

Land Lease Administration

  • Oversee registration of land lease contracts in accounting and land management systems
  • Maintain a complete and up-to-date database of landowners
  • Ensure correct archiving of contracts, ownership documents and notarial records
  • Coordinate land registry submissions (no signing authority on behalf of the company)

Payments & Reporting

  • Ensure correct and timely processing of lease payments, taxes and natural payments (e.g. grain, maize)
  • Coordinate complex cases with the Chief Accountant
  • Prepare payment registers and maintain accurate records
  • Prepare management reports, annual summaries and tax-related reports
  • Support internal and external audits

Growth Support

  • Support the Land Lease Manager in identifying new landowners and land plots
  • Provide input for expansion of the land bank (target up to 30,000 hectares)

Your Profile

  • Higher or secondary degree in Economics or a related field
  • Minimum 3 years of relevant work experience
  • Solid knowledge of:
    • Ukrainian land legislation and the Land Code
    • Land valuation, rent and taxation regulations
    • Administrative and accounting principles
  • Strong organizational and analytical skills
  • Structured, accurate and hands-on working style
  • Confident IT skills (Excel, Word, 1C)
  • Driver’s license preferred (minimum 2 years driving experience)
